In BlackBerry Enterprise Server 4.1 and BlackBerry Enterprise Server 5.0, the Hard Deletes Reconciliation feature can be enabled so that email messages are permanently deleted in Microsoft Outlook and removed from the message list on the BlackBerry smartphone. By default, this feature is disabled.

The support for hard deletes uses a Message State database stored in the computer memory. This database is enabled by default even if the Hard Deletes Reconciliation feature is disabled. By default, the last 100 email messages are tracked for hard delete support in the Message State database; however, this number can be changed.

For example, if a value of 1 is set for the Message State Database size, in the event of 3 emails being hard deleted, only the last of these emails will be reconciled first. The Hard Deletes Reconciliation feature does not work for permanently deleted items older than the specified limit. For detailed information, see KB04863.

The Message State database may be reset so that email messages redirected to a BlackBerry smartphone during a previous BlackBerry Enterprise Server session will not be deleted even if they are hard deleted in the BlackBerry smartphone user’s mailbox. Any of the following actions will reset the Message State database:

  • Either the BlackBerry Enterprise Server or BlackBerry Professional Software is restarted
  • The BlackBerry smartphone user is moved to another BlackBerry Enterprise Server or BlackBerry Professional Software
  • The BlackBerry smartphone user’s mailbox is moved to another Microsoft Exchange Server
  • The BlackBerry Enterprise Server administrator sends a Reload User command from BlackBerry Manager

The requirements to enable the Hard Deletes Reconciliation feature are listed in the following table:

BlackBerry Device Software for BlackBerry smartphones based on C++ Version 2.6 or later

To enable Hard Deletes Reconciliation

If using BlackBerry Enterprise Server 4.1, complete the following steps:

  1. Open BlackBerry Manager.
  2. In the Explorer view, click Server.
  3. On the Server Configuration tab, click Edit Properties, then click Messaging.
  4. For the Hard Deletes Reconciliation option, choose True from the drop-down menu.
  5. Restart the BlackBerry Enterprise Server services.Important: Restarting certain BlackBerry Enterprise Server services delays email message delivery to BlackBerry smartphones. For more information, see KB04789.

If using BlackBerry Enterprise Server 5.0, or BlackBerry Enterprise Server Express 5.0, complete the following steps:

  1. Open the BlackBerry Administration Service web page.
  2. Enter your credentials to log in.
  3. On the left side, select the plus sign next to BlackBerry Solution topology.
  4. Select the plus sign next to BlackBerry Domain
  5. Select Component view.
  6. Select the plus sign next to Email.
  7. Click your <servername>.
  8. Click the Messaging tab.
  9. Click Edit instance.
  10. Set Hard deletes reconciliation to True.
  11. Restart the BlackBerry Enterprise Server services.Important: Restarting certain BlackBerry Enterprise Server services delays email message delivery to BlackBerry smartphones. For more information, see KB04789.
  12. If the BlackBerry Enterprise Server is part of a High Availability pair repeat steps 7-11 for the other instance.

If using BlackBerry Professional Software, complete the following steps:

  1. Open BlackBerry Manager.
  2. Select the Home tab.
  3. Click Edit Server Properties.
  4. Select Messaging.
  5. Set Hard Deletes Reconciliation to True.
  6. Restart the BlackBerry Enterprise Server services.Important: Restarting certain BlackBerry Enterprise Server services delays email message delivery to BlackBerry smartphones. For more information, see KB04789.

To change the number of tracked messages

If using BlackBerry Enterprise Server 4.1, complete the following steps:

  1. Open BlackBerry Manager.
  2. In the Explorer view, click Server.
  3. On the Server Configuration tab, click Edit Properties, then click Messaging.
  4. In the Performance section, change the value of the Message State Database Size field to the number of messages you want to track for hard delete support (the maximum is 1000).
  5. Restart the BlackBerry Enterprise Server services.Important: Restarting certain BlackBerry Enterprise Server services delays email message delivery to BlackBerry smartphones. For more information, see KB04789.

If using BlackBerry Enterprise Server 5.0, complete the following steps:

  1. Open the BlackBerry Administration Service web page.
  2. Enter your credentials to log in.
  3. On the left side, select the plus sign next to BlackBerry Solution topology.
  4. Select the plus sign next to BlackBerry Domain.
  5. Select Component view.
  6. Select the plus sign next to Email.
  7. Click your < servername>.
  8. Click the Messaging tab.
  9. Click Edit instance.
  10. Set a value for Message state database size (# messages per user). Default is 100.
